LedgerHelm is a service provided by Arkenly LLC(“Arkenly LLC,” “we,” “us,” or “our”). LedgerHelm is AI-assisted bookkeeping and accounting software for small businesses. This Privacy Policy explains what information we collect, how we use and share it, and the choices you have. It applies to the LedgerHelm website and web application (the “Service”).

Information we collect

We collect the following categories of information:

  • Account information — name, email address, business name, and authentication details you provide when you create and manage an account.
  • Financial and bookkeeping data — transactions, invoices, bills, receipts, statements, reports, and other records you upload, enter, or generate in the Service.
  • Bank and financial-account data — when you choose to connect a bank or financial account, we receive information about that account and its activity (see “Bank account connections” below).
  • Payment information — subscription and billing details. Card details are processed by our payment processor (Stripe); we do not store full card numbers.
  • Usage and device data — log data, IP address, browser type, and similar technical information collected automatically as you use the Service.

Bank account connections (Stripe Financial Connections)

If you choose to connect a bank or financial account, LedgerHelm uses Stripe Financial Connections to establish and maintain that connection. You authenticate directly with your financial institution through Stripe’s secure flow.

We do not receive or store your online-banking username or password. Through the connection, we receive financial data such as account details (for example, institution name and the last four digits of the account), account balances, and transaction history.

We use this data solely to provide the Service to you — importing and categorizing transactions, reconciling accounts, and producing books and reports. We do not sell this data, and we do not use it for advertising.

Stripe processes this information as described in the Stripe Privacy Policy. You can disconnect a linked account at any time from within the Service, which stops future data retrieval for that account.

How we use information

We use the information we collect to:

  • provide, operate, maintain, and improve the Service;
  • import, categorize, and reconcile transactions and generate books, reports, and tax-related documents;
  • power AI features such as automated transaction categorization and financial insights;
  • authenticate users, process subscriptions, and provide customer support;
  • detect, prevent, and address fraud, abuse, security, and technical issues; and
  • comply with legal obligations.

How we share information

We do not sell your personal or financial information. We share information only as needed to run the Service, with service providers who process data on our behalf under appropriate confidentiality and security obligations, including:

  • Stripe — payments, and bank/financial-account connections via Stripe Financial Connections.
  • Accounting integrations — QuickBooks Online and Xero, when you connect them, to sync your books at your direction.
  • AI providers — to process transaction and document data for categorization and insights. We do not permit these providers to use your data to train their models.
  • Infrastructure & communications — cloud hosting, file storage, error monitoring, and email delivery providers used to operate the Service.

We may also disclose information to comply with law, enforce our agreements, protect the rights, safety, and security of LedgerHelm and our users, or in connection with a merger, acquisition, or sale of assets (with notice where required).

Data retention

We retain your information for as long as your account is active and as needed to provide the Service, comply with our legal obligations, resolve disputes, and enforce our agreements. When you close your account, we delete or de-identify your information within a reasonable period, except where retention is required by law (for example, financial recordkeeping requirements).

Security

We use administrative, technical, and physical safeguards designed to protect your information, including encryption in transit, encryption of sensitive credentials at rest, access controls, and tenant data isolation. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

Your rights and choices

Depending on your location, you may have rights to access, correct, export, or delete your personal information, and to object to or restrict certain processing. You can access and export much of your data directly in the Service, and you can disconnect linked bank and accounting integrations at any time. To make a request, reach us through our contact page.

Children's privacy

The Service is intended for businesses and is not directed to children under 16. We do not knowingly collect personal information from children.

International users

We operate in the United States, and your information may be processed and stored in the United States or other countries where we or our service providers operate. By using the Service, you understand your information may be transferred to locations that may have different data-protection rules than your country.

Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the “Last updated” date above and, where appropriate, provide additional notice. Your continued use of the Service after an update means you accept the revised policy.
